Introduction

CARM has a facility whereby, annually, individuals may pick blocks of annual leave for the following year. The pick is organized so that the most senior person in a group of personnel has first choice followed by the next most senior, etc.  There is a limit as to how many people can take annual leave at the same time to avoid leaving shortages of cover.  There is also a limit to how many blocks of annual leave may be picked.  A block of annual leave is a number of consecutive working days.  For example, someone who works five days a week will pick blocks of those 5 days.  Someone who works 4 days a week (perhaps on 12 hour shifts) will pick blocks of those 4 days.

 

The maximum number of blocks that may be picked by an individual is controlled by the CARM System Administrator.  Typically this would be two blocks.  The individual may pick any number of blocks up to that maximum (including none).

 

A limit as to how many people can take annual leave at the same time (expressed as a percentage) is also controlled by the CARM System Administrator and may be different for different groups of personnel.  Typically this could be 25% (rounded up or down).

 

Grouping of personnel is determined by the organization structure and by cover ranks as defined by the CARM System Administrator.  Typically it could be, for example, all Officers within a platoon, or all Sergeants within a division. (See Picking Units)

 

Incorporates a facility whereby if any activity flagged as auto-notification required is part of a picked block of vacation, the supervisors of the picking unit are automatically notified by internal CARM messaging.  For example, may be used to notify the supervisors if anybody picks vacation during their Block Training.

 

Incorporates a facility whereby the individual may elect whether the Rest Days either side of the picked block of vacation is to be included in the registration process.

 

Each block of vacation is automatically recorded as an ‘approved and applied request’ to enable the individual to subsequently cancel such requests if so desired.

Picking your annual leave

 

To initiate the picking facility, the CARM System Administrator will set a system parameter to the next year to be picked (see System Maintenance > System Control Parameters).  Once that is done, the most senior person in each group of personnel will then be invited to pick their annual leave blocks.  When that person signs in to CARM, a large red button (with, optionally, a flashing light) in the 'My Personal details' section of the Home Page will indicate that the pick facility is ready.

If it is your turn to pick:

 

·         Click 'Pick My Annual Leave for xxxx' (on the large red button) or

·         Select Duties > Annual leave Selection

 

 

Amount of annual leave in your time bank at the start of the pick year is displayed at the top of the page.

 

·         Click Show Time Bank  to see details of your bank.

 

Your schedule is displayed for the whole of the pick year with a check box against blocks of time that are still available to be picked.

 

‘Previous Picks’ indicates

'Number of Personnel' indicates how many people are in your particular group of personnel for those days.

 

'Number already booked or picked leave' indicates how many people from your particular group of personnel have already made their picks for those days.

 

'Leave Threshold' indicates the percentage of your particular group of personnel that may take annual leave at the same time - the figure in brackets is the actual number. (See Picking Units)

 

‘Leave Availability’ indicate how many people from your particular group of personnel that may still pick that block - including yourself.

 

‘Lockdowns’ indicates by Title, where there is an organisation Lockdown in effect.

 

You may click on any of the numbers to see who is in the lists.

 

For example (as can be seen here, 3rd, 4th, 5th and 12th April are no longer available to be picked)

 

 

When you have made your selection:

 

·         Click Submit to submit your selection.

 

A confirmation page will be displayed indicating your pick with an option to return to change your pick if you so wish.

Checking when it's your turn to pick

 

If it is not yet your turn, or you have already picked, then the large red button on your home page will not be present. 

You can check on the status of the picks for your group by:

 

·         Select My Picking Unit or

·         Select Duties > Annual leave Selection which will display the following page:

 

 

·         Click Display to view Daily duties and Picks through the year

Checking the current status of all picks

With authorized access rights you can check on the status of all picks for all groups of personnel by:

 

·         Select Duties > Annual Leave Selection Status which will display the following page:

 

 

·         Select Picking Unit(s) to view.

·         If required checkmark Show wait-in-line dates.

·         Click Submit to view the status.
