Countermanding a witness from a multi-day trial
How to edit elements of a case, and/or to countermand witnesses or the whole trial if required:
· Select Witness Management > Witness Availability
· Select the case (see: Selecting a case).
· From the witness/case options page, click Edit Cases.
The page is split into two main areas:
Case details: all the primary information about the case itself e.g. crime reference, court reference, accused and witnesses so far associated with the case.
Trial details: all the information about each trial e.g. the date, start/end time.
How to change the fundamental information about the case:

If a trial has already been booked, and the trial that has changed location etc, then there is a need to update the trial rather than the case. |
· Add or make changes to the required text.
· Click Update Case.
· Select new location from the drop down.
· Select new court from the drop down.
· Click Update Case.
Usually used prior to a trial being booked i.e. if case/witness details are imported from another system and additional witnesses are now required and subject to the availability search.
· In the Person search box, enter the shoulder number, surname or part.
· Click Go.
· If the required person is presented, click Add Witnesses.
· If more than one match is returned, select the required person from the drop down and click Add witness.
· Click Update Case.
Usually used prior to a trial being booked i.e. if case/witness details are imported from another system, and witnesses become surplus to requirements and therefore not subject to the availability search.
· Select the person in the list.
· Click Remove Witnesses.
· Click Update Case.

Adding and removing witnesses in this way does not countermand them. |
How to change the fundamental information about the trial:
· Make the required changes.
· Click Update Trial.
· Select the new item from the required drop down.
· Click Update Trial.
· Open the required trial.
· Select witness from the Trial Witnesses list.
· Select countermand reason from the Countermand Witnesses drop down.
· Click Countermand witness.
· Countermand Witnesses box will be updated with the countermand details.
Sometimes not all witnesses will be required for all trials in a case. It is possible to remove a witness from just one of the trials.
· Open the required case.
· Click Select beside the trial to be amended.
· Select witness from the Trial Witnesses list.
· Select countermand reason from the Countermand Witnesses drop down.
· Click Countermand Witnesses.
· Countermand Witnesses box will be updated with the countermand details.
· The witness will remain on all other trials.
· Open the required case.
· Select the trial for that case (if more than one trial exists).
· Select Countermand Reason from the drop down.
· Click Update Trial.
· Trial Witnesses box will be updated with the countermand details.
· In Person search box, enter the shoulder number, surname or part.
· Click Go.
· If the person is presented, click Add witness.
· If more than one match is returned, select the required person from the drop down and click Add witness.
· The person’s availability will automatically be checked and if available, the witness will be added to the trial.
· If the witness is unavailable, the following type of page will be presented. (The commitment information will change depending upon the type of commitment). In the example below, the witness is already assigned to another trial on that date.
· To add the witness, despite their commitments, click Continue to Add Witness.
· If the witness is not to be added e.g. they are on Annual Leave, and there is no further work to be carried out on the trial; return to the Home Page.
How to split or delete a case:
· Open original case.
· Change the appropriate details i.e. crime ref, court ref, accused, location, court, etc.
· Click Insert case.
· Select Case Witnesses required for the case.
· Click Update Case.
· Create the trial details when required. See: Setting a trial date for details.
· Open the case to be deleted.
· Click Delete case.

A case cannot be deleted if a trial date has been set. |
