Introduction

·         Select Duties > Long Term Planner

·         Select personnel to view/update.

 

 

·      Set Date From for start of the plan.

·      Enter No. of Weeks to be planned from that start date.

·      Click Submit.

 

Caution – opening the Long Term Planner for a long period and/or many personnel will have an effect on the overall performance that all users may experience. We recommend opening only what is needed.

Understanding the long term plan

Grid is presented with dates, together with all personnel in the selection. Grid shows only activity e.g. Various (hovering over Various will show details of that day), Sick, etc. and non-working days e.g. Rest Days, Statutory Holidays and Work Free Days.

 

Blank cells indicate the person is working their planned shift.

 

Appropriate time bank balance will be displayed for the currently selected activity (from the Activity group and Activity drop down lists) and selected person if the activity is a bankable one e.g. Lieu time off, Annual Leave.  There is also the option to view the details of that Time bank.  To do this, click Show Activity time bank.

 

Red cells indicate where this activity is already applied.

 

Vertical and horizontal scrolling bars are available for the grid details; also vertical scroll ability is available for use with a scrolling wheel mouse

Date: Specific date, within the selected date range, against which, personnel and activities are presented.

No. on A/L: Number of personnel, within the selected date range, on the specific date that is on annual leave.  In the example above, for 6th August 2008,       there are 2 people on Annual Leave (Sgt Brett and PC Morton)

No. Absent: Number of personnel who are absent for any reason (all sickness and leave activity types).  In the example above, for 6th August 2008, there        are 4 people absent (Sgt Brett and PC Morton on Annual Leave, PC Earnshaw on Certified Sick and PC Blanchard on Self Certified Sick)

Updating the long term plan

 

·      Select required person from the drop down.

·      Set Date From for start date of the activity.

·      Set Date To for end date of the activity.

·      Select Activity group/Activity from drop downs.

·      Select Analysis/Sub-analysis from drop downs.

·      Click Apply. NB button will include selected activity in the name. Grid will be updated with the new information (in red)

Removing items from the long term plan

How to remove activities from the long term plan:

 

 

·      Select required person from the drop down.

·      Set Date From for start date of activity.

·      Set Date To for end date of activity.

·      Select Activity group/Activity from drop downs.

·      Click Remove. NB button will include selected activity in the name.  Grid will be updated with the new information.
