Understanding the Attendee availability grid
After following the Selecting Attendees or Select course processes, a page similar to that below is presented.
Anyone who has indicated an interest in this course will be listed in the 'Wish Lists' box (See Show My Training). Pick any or all from that list to attend this course being booked by clicking on the appropriate personnel and click on Pick
To add additional attendees to a course booking other than those listed in the 'wish lists':
· Click Add attendees to list.
· Select the required attendees from the page presented (see Selecting Attendees).
· Click Submit.
Likewise, to remove attendees from the search; Note, this is different from cancelling attendees once a course has been booked.
· Highlight the attendees to be removed.
· Click Remove attendees from list.
To see if any of the selected attendees are already attending any courses, click View Courses
Pick one or more qualified instructors to run this course by clicking on the appropriate instructor and click on Pick
To add additional instructors to a course booking other than those listed in the qualified instructors:
· Search for a Person.
· Click Add Instructor to add the found person to the Instructors list.
To remove an instructor from a course
· Highlight the instructor to remove.
· Click Remove Instructors.

To edit course details e.g. title, course code, cancel individuals or the whole course. Please see Editing a Course for details.
To compare the availability of your selected attendees and instructors and select an exact match or best fit dates for the course.
To allocate individuals to the course, on specified dates, using exact match or best fit selections. Select by attendee, or course, the final stage of booking a course will be the same.
· Set the date to commence search in Search From.
· Select the number of days/weeks to search in Search Period.
· Set the search type by clicking Weeks or Days.
· Change the training days if necessary.
· Click Display availability.
· Select a date or range of dates from the Exact Match Dates Found box. If no exact match dates are available, select the date(s) with the lowest Value from the grid. These will be inserted in the exact match box.
· Complete the course information as in the example above, including start/end times of the course if known and an appropriate activity (to be recorded in the schedule)
· Click Confirm.
All dates where zero-value weightings are calculated. These are represented in the grid in green.
Allow selection of a sort sequence. Date sorts in ascending date sequence, Value by the combined activity weighting totals.
All shifts and activities have facility to apply a weighting. Weighting is used to calculate the best date to book the trial.
Red dates are where the combined total is greater than or equal to the activity that you are applying (indicates activities of a higher priority already exist on those dates) e.g. Trials.
Amber dates are dates selected in the grid that are not exact match or best fit dates.
White dates are where the combined total is less than the activity that you are applying.
Green dates are where there are no weighted commitments on the day; therefore the combined total is zero.
Is the combined activity weightings for the date.

There may be a value in the corresponding grid with no activity detail. This means there is an encroachment violation on the day i.e. there is less than 11 hours (or the equivalent parameter) between this and the previous/next shift. |

Returns to the attendee/course option page, and retains the Course details in the search box.
Returns to the attendee/course option page, and removes the Course details from the search box.
If no current course available then insert a new course at Edit Courses.
