Introduction

Periodically, it will be necessary to lock the Duty Plan so that certain activities cannot be booked. For example, there is a Royal Visit or Project/Locations, which will be policed by a sub‑division of an OCU. As a result there is a need to prevent leave or Lieu time off being booked, except by authorized personnel.

 

There are five main areas to identify:

 

·         Date(s)

·         Organization structure

·         Ranks

·         Activities

·         Authorized users

Locking the duty plan

·      Select Duties > Activity Lock-Down

 

 

·         Select: New lock-down.

Describing the lock-down

 

·         Enter Title of the lock-down.

·         Enter in Notes: a description of the event, Project/Locations and/or reasons for lock-down.

Selecting the organization structure

 

·         Select Division, Sub-Division, Section, Department and Roster Group affected by the lock-down using drop down lists.

Selecting the dates

 

·         Enter Effective from date of the lock-down period

·         Enter Effective to date of the lock-down period

Selecting ranks

 

·         Select ranks to be locked down. Select an individual rank by clicking it. Select multiple ranks either with Shift/click (for a range) or Ctrl/click for multiple singles.

Selecting activities

 

·         Select Activity Group for the lock-down activities, from the drop down list: e.g. Leave.

·         Select Locked Activities within that group that you need to prevent being applied (see Selecting ranks above).

·         Highlight all selected activities and click Pick or use Pick All.

Selecting authorized users

 

·         Enter Reg/Emp/Surname (shoulder number, employee number or surname) of the user authorized to continue booking locked activities/dates/personnel/organization.

·         Click Search.

·         Select the required user from the drop down list.

·         Highlight authorized users and click Pick or use Pick All.

·         Repeat until all authorized users are identified.

·         Click Submit when all areas have been entered.

 

If there is no selected Authorized User no-one will be able to apply locked activities/organization/personnel on locked dates without changes being made to the actual lock-down itself.

Viewing existing locks

How to view details of Lock-downs:

 

·      Select Duties > Activity Lock-Down

 

·         Click Existing lock-downs.

 

 

·         Enter From and To, date range of the lock-downs to view.

 

 

·         Click Select against a lock-down item, to make changes to it e.g. add authorized users, or remove it

Troubleshooting activity lock-down

There is a message when trying to apply an activity to the duty plan:

 

Selected activity is subject to lock-down – please select another activity or cancel”

 

 

Means you have tried to apply a locked activity to a person in a locked organization/rank on a locked date. Only authorized users can apply this activity.

There is a link on the Duty Plan that says:

Activity Lock-down is in effect for all or part of your selection.

 

 

For some or all of the time open, an activity lock-down has been applied. Hover the mouse pointer over the link or click the link to see full details of the lock-down.
